Fleet Manager Assistant

This is a non-exempt seasonal position and is eligible for overtime pay. Approximated length of the assignment is 4 months between the months of June through September. Housing is provided at no cost.

The Fleet Manager Assistant is an invaluable asset to the Fleet Manager.They are the clerical backbone of the fleet department. In addition to clerical responsibilities the Fleet Manager Assistant fields phone calls, takes and relays messages, and occupies the fleet office when the manager is out. This job is critical to a well-organized and efficiently run department.

Reports To: Fleet Manager

DUTIES AND RESPONSIBILITIES

Salmon Season

Verify tender start and stop dates;
Maintain day to day tender activities spreadsheet;
Submit daily catch reports to ADF&G;
Compile area tenders averages for fleet disbursement;
Broadcast group messages to fleet as needed;
Monitor office tracphones when Manager is not present;
Be available to take phone calls when Manger is not available;
Keep dock delivery spreadsheets;
Assist Fleet Manager in procuring hails;
Disseminate ADFG announcements to fleet;
Assist accounting with fish ticket disputes;
Compile fleet contact list and information packets;
Issue PO’s;
Assist in fleet office as needed;
Other duties as assigned;

General Knowledge

Knowledge of southeast Alaska waters a plus;

The incumbent must have proficient knowledge in the following areas:

Ability to maintain a high level of accuracy in preparing and entering information;
Knowledge of basic bookkeeping principles;

Working Conditions and Physical Requirements

The Fleet Manager Assistant will spend long hours working during peaks of different seasons throughout the year.

The incumbent may be asked to work odd hours during the peak of the season and he/she may be asked to be on call.

There are deadlines associated with this position, which may cause significant stress and require long hours of work, including late night and weekends. The incumbent must also deal with a wide variety of people on various issues.
